Webaccounting
Instead of having their accounting software with data stored on a local disk, companies are increasingly outsourcing this work by subscribing to a webaccounting solution. Beyond the technical change, this choice allows greater flexibility in the organization and the availability of one's accounting. Depending on the market and activity of the company, these advantages can be decisive in achieving the expected success.
Unsurprisingly, the specific features of insourced versus outsourced models apply to accounting solutions. This means that the company's accounting is accessible anywhere and from any device : a simple connection to the network is all that is needed to view this data on a smartphone or at home. But it also means that accounting details are always available and in their latest update, with every user having access to the same data set. By using such services, the company also benefits from a secure infrastructure for storing and accessing its data.
The update and maintenance of the service infrastructure (servers, physical and logical security, software) is also outsourced. The pace at which specific laws and technical tools change is sometimes difficult to keep up with, hence the interest in relying on a provider whose job it is to do so. Depending on the choosen service, it can include some support, regular information on new developments and adaptation to best practices. It is also very easy and quick to adapt the scope of the service required if the company's needs were changing : all providers on the market offer various modules and service levels that can be adjusted to everyone's wishes.
An online solution allows for a very fluid distribution of tasks between persons involved, whether they are employees of the company or external consultants. It is very easy to monitor its progress or to carry out controls on defined key variables without delay. Individual logins can simply and quickly be granted and withdrawn even remotely ; as with a conventional software, they can be differentiated and the record history will be kept. When choosing a webaccounting solution, however, special attention should be paid to the termination conditions and in particular to the export of own data and archives to another provider.
The main advantage of a webaccounting system lies in its great flexibility and the delegation of certain ancillary activities, while improving the gains offered by digitalization. The price may be costly and generally higher than the purchase of a local software, but it must be compared with the related additional services : in this instance, it may be worth the change.
